Privacy Policy

Who we are

WarmSignal is a retention and lifecycle marketing consultancy operated by Zenith Synapse LLC, a Wyoming limited liability company ("we," "us"). This policy explains what information we collect through warmsignal.com and in the course of our services, how we use it, and the choices you have.

Information we collect

• Correspondence. When you write to us or book a call, we receive what you send: your name, email address, and the contents of your message.
• Business information. If we prepare an assessment or work together, we receive business information you choose to share (for example, customer counts or campaign history).
• Site logs. Our hosting provider records standard server logs (IP address, browser type, pages requested) for security and reliability.

We do not run advertising trackers on this site, and we do not sell personal information. This site sets no advertising or analytics cookies. Scheduling runs on Google Calendar; Google's own privacy policy applies to bookings made there.

Client campaign data

When we manage programs for a client, campaign and customer data stays in the client's own systems and accounts. We access it only as instructed by the client, only to deliver the contracted services, and we do not copy customer lists into systems we control. As between us and our client, the client owns that data.

How we use information

• To respond to inquiries and assess whether an engagement fits;
• To deliver contracted services, invoices, and reports;
• To keep the site secure and reliable;
• To meet legal, tax, and accounting obligations.

Sharing

We share information only with service providers that make our operations work (hosting, email, scheduling, accounting, and payment processing), and only for those purposes; with professional advisers where necessary; and where the law requires it. We do not sell or rent personal information to anyone.

Retention & security

We keep correspondence and engagement records for as long as reasonably needed for the relationship and for legal and accounting requirements, then delete or anonymize them. We use reputable providers, access controls, and encryption in transit. No method of transmission or storage is perfectly secure, and we won't pretend otherwise.

International operations. We work from Indonesia, so correspondence and engagement records may be accessed from outside the United States under the same access controls described above. Client campaign data is different: it stays in the client's own systems and accounts (section 3) and is not copied abroad by us.

Your rights

You may ask what information we hold about you, ask us to correct it, or ask us to delete it, subject to legal retention duties. If you are a California resident, the California Consumer Privacy Act (CCPA/CPRA) gives you rights to know, delete, and correct personal information and to opt out of its sale or sharing. We do not sell or share personal information as those terms are defined by the CCPA. Depending on where you live, additional statutory rights may apply.
